STA

The Short Term Allowance (STA) module in Pletox is used to manage short-term financial assistance provided to employees. When an employee requires money for a short period, the company can provide the

amount through STA, and the approved amount is later deducted from the employee’s salary.Once approved, the STA amount is deducted during payroll processing and is visible to the employee in the payslip as a clearly defined deduction.

The deducted amount is visible to superadmin in the employee’s Salary View during payroll processing.

STA Data Columns for Superadmin:

The STA module displays the following columns:

  • Serial Number

  • Employee ID

  • Employee Name

  • Date

  • Value – Amount requested by the employee

  • Reason – Purpose of the STA request

  • Action

    • Edit – Modify an existing STA entry

    • Delete – Remove an STA entry

Top Action Buttons

At the top of the STA module, the following buttons are available:

1. Filter:

Used to narrow down STA records using the following filters:

  • Search

  • Date

  • Employee

  • Company

  • Department

  • Location

  • Group

  • Category

  • Has Contractor

  • Clear – Clears all applied filters

A Resigned Toggle is also available:

  • When enabled, only resigned employees’ STA data is displayed

2. Export:

Allows users to download STA data for record-keeping or analysis.

  • Exports the STA data, Available formats depend on system configuration

3. Import:

It is used to add multiple records at once instead of entering data manually.

  • Supported file formats:

    • CSV

    • XLSX

  • Workflow:

    1. Click Import

    2. Select the file

    3. Click Import

    4. All valid STA entries are uploaded in bulk

4. Add STA:

Used to create a new STA entry.

Add STA Dialog Fields:

  • Employee Name

  • Date

  • Value (Amount)

  • Reason

  • Add Button to submit the request

Employee Permissions & Access Control:

STA access is permission-based and configured from:

Settings → Organization → Employee → Edit Employee → Permission Tab → Payroll → STA

Available Permission Toggles:

  • View (My Self)

  • View (My Team)

  • View (My All)

  • Create

  • Edit

  • Delete

Once the required toggles are enabled and saved, the employee can perform actions based on the granted permissions.

Employee Workflow:

  1. Employee navigates to the STA module

  2. Available buttons

    • Filter

    • Export

    • Import

    • Add STA

  3. Employee clicks Add STA

  4. Fills in:

  • Choose Name

  • Date

  • Value

  • Reason

  1. Clicks Add

  2. The STA request is submitted and sent to the Super Admin for approval

Employees can:

  • View their own STA records

  • View team members’ STA records (if permitted)

  • Filter and export STA data

  • Import STA entries

Approval Workflow (Super Admin)

  • All STA requests are sent to the Super Admin’s Inbox

  • A notification appears in the Inbox section

  • On opening the notification, the Super Admin can view:

    • Employee details

    • Date

    • Requested amount

    • Reason

  • Super Admin can:

    • Approve the request

    • Decline the request

Status Handling

  • Pending → Approved

  • Pending → Declined

Once approved:

  • The STA amount is reflected in payroll

  • The amount is deducted from the employee’s salary

  • The deduction is visible in Salary View

Manager Visibility (If Permitted)

  • Managers with View My Team access can:

    • View STA requests of their team members

    • View resigned employees’ STA data (if Resigned toggle is enabled)
